Mooncascade helped implement appropriate Google Workspace features and permission settings for Inbank, in collaboration with Inbank’s IT and Human Resources teams. Everyone involved in the change received training on the new solution.
People should be able to easily find suitable rooms (in terms of size and equipment) in their respective locations, without having to search through all available rooms across all locations. To address the issue of booked rooms going unused or needing to be made available for other events, there should be established processes in place to make the necessary changes without requiring IT team involvement.
The solution incorporates buildings and rooms as resources, calendar settings, a group for calendar managers, and location information for all employees. Office managers possess the necessary skills to adjust calendar settings and leverage room insights to analyze actual room usage. By using a dedicated group for permission management, office managers across different buildings can substitute for each other as needed.
The time required to arrange events has decreased, and there is now an improved overview of room usage. The system suggests the most suitable rooms based on the location of participants. If a room is unavailable, the system automatically replaces it if possible. If participants decline, the meeting room is automatically released. Office managers have permissions to make amendments to the calendars if necessary.
